The planning page includes filters designed to align with workspace logic, allowing for more efficient data management and visibility.
The main type of filters:
- System – these are predefined and cannot be modified. However, users can create duplicates and customize them as needed.
- Users Private – these filters are visible only to the user who created them, ensuring personalized data views.
- Users Shared – these filters are visible to all users within the workspace, enabling collaboration
- Owners – created by workspace owners, these filters are accessible to all users in the workspace.
What can i do as an Owner
As an Owner, you have the ability to create Shared filters that are automatically available to everyone in the workspace. These filters will appear in all users’ filter lists.
Please note:
- Owners cannot create Private filters and will only see two types of filters: System and Shared.
- Owners cannot view Private filters, and therefore cannot move filters between Private and Shared, or vice versa.
What can i do as a User-Write access
Users with Read-Write access have full control over the Data page. They can create filters, move filters between Shared and Private, duplicate any available filters, and remove filters (except system filters). Additionally, users with Read-Write access can move their own Private filters to Shared, making them visible to other users.
Please note: If a Shared filter is modified or removed, it will be changed or deleted for all users, including the Owner.
What can i do as User-Read access
Users with Read-Only access cannot create filters but can view all filters, including System, Owners, and Shared filters. While they cannot modify or remove these filters, they can duplicate any visible filter and save it as a Private filter. Private filters can then be altered or removed by the user.
How are filters displayed
Owners can see all System and Shared filters. System filters (such as “Display All,” “Personnel Cost,” and “Sales”) are always shown at the top of the list.
Users with Write access will see filters separated by a divider: System filters are displayed at the top, followed by the user’s Private filters. After the separator, all Shared filters created by the Owner and other Write users will be shown.
Users with Read access see the filter list similarly to Write users, with System filters and Private filters listed first, followed by Shared filters after the separator.
What different type of users can or can’t do:
The table below summarizes what actions each user type can or cannot perform on different filter types.
System filter | User Private filters | User Shared filters | Owners filters | |
User (Read) | Duplicate as Private | D/R | Duplicate as Private | Duplicate as Private |
User (Write) | D | C/D/R/PtS/StP | C/D/R/PtS/StP | C/D/R/PtS/StP |
Owner/ Shared | D | Owner cant see Private filters | D/R | C/D/R |
Actions:
- Create (C) – create a new filter
- Duplicate (D) – duplicate an existing filter
- Remove (R) – remove a filter from the system (excluding system filters)
- Move Private to Shared (PtS) – Move a private filter to Shared, making it visible to all users
- Move Shared to Private (StP) – Move a shared filter back to Private, so only the current user can see it
