In the realm of data security and management, the Backups screen offers a crucial array of features: the ability to oversee and control data backups, revert to previous data states, and manage system notifications. Whether these backups are system-generated or user-initiated, they play a pivotal role in safeguarding information integrity. If you’re interested in learning more, you can watch our tutorial video (03:49) at the bottom of this article.
How to create Backups
All backups will either be performed by the system automatically or created manually by a user. Automated backups get created by the system every night. In case you have any active Integrations configured, an auto-backup will be created prior to sourcing the data from any external systems, and a nightly backup will not be performed in this case.
The ‘Backups‘ mode screen shows:
- Type – notification type: Recommendations, Messages, Changes, Errors, Backups
- Notification – message containing notification’s details
- Date – time stamp when a notifications was created
- attachment – backup file
If you would like to create a backup, you can do so by clicking on the ‘Create backup’ button. Type in a comment and click on the ‘Create backup’ button. The system will create a backup, but only provided some change in data has occurred since the last backup, otherwise no backup will be created.
Created backups will be date-stamped and displayed as a paperclip icon. You can use these historical backups to restore your data to a previous state. Just select the date you would like to restore your data to, and click on the paperclip icon. Before restoring the data the system will firstly create a backup of your current data, to ensure that you can completely roll back from any changes made when loading your historic backup, if required.
Please note, the data restore process might take some time, during which the system will not be available, and you will be logged out of the system to help ensure the success of the restore. Once the data restore is complete, you will be able to log back into the system.
If, for any reason, a data restore fails, you will be notified via an error message. Please don’t worry, you can always contact our support team and we will be able to assist you.
How to access Notifications
In the top right-hand corner you can see the ‘Notifications’ icon. Click on it to see all your system notifications, including messages about backups. Clicking on the notification icon will also change the mode of the page to include all your notifications, and you can set up what kind of notifications you’d like to have included on the display.
The ‘Notifications‘ mode screen shows:
- Type – notification type: Recommendations, Messages, Changes, Errors, Backups
- Notification – message containing notification’s details
- Date – time stamp when a notifications was created
- attachment – backup file
You can adjust your filter to display not only notifications, but also include notifications with backups.
The Notifications mode will remember your latest filter preferences. For example, if you chose to only see messages, the next time you go to the notifications screen, you will still only see messages.
You can copy, print and export (PDF/Excel) your backup details and notifications.
